Run a show and export results in Equipe APP
Entries management in Equipe APP
- Run a show in Equipe APP as usual.
- For each entry in the starting list, please indicate a status (an outcome). This could be a result if the pair participated, a withdrawal, a no show, or any other outcome in Equipe APP. If you wish to change a horse or a rider, please mark the entry as "changed" and add a new entry.
- Refer to the Mapping of statuses in Equipe APP to Equibel to learn more about how marked statuses will be exported to Equibel along with the results.
- Refer to the Entry statuses and payments to understand the meaning of selected statuses regarding payments for entries.
- If you wish to add a new horse or a new rider to Equipe APP, please use the search option in the Equibel database. If you simply write the name of an athlete or a horse without syncing them from the database and/or adding the license number or horse immatriculation number, such entries will not be imported back to Equibel along with the results.
- When adding a late entry, ensure that the Payer is correct and that the Late entry flag is correctly set up in Equipe APP.
Results export to Equibel
- You may import results after each competitions, each day or at the end of the show. Click on File -> KBRSF -> Export results and select competitions to export.
- Once a competition is exported, it will always be added to the next export. If you change something in this competition, the changes will be synced and accepted in Equibel.
- When results are imported, Equibel checks each entry from Equipe APP dataset and matches it with entries in Masterlist.
- If all results are synced correctly from Equipe APP, they will be confirmed automatically. If there are entries with "unclear" statuses, they will be automatically marked as changed for classes with at least one positive result. This would mean that all fees will be returned. If the unclear entry was withdrawn, please add resolution and after that confirm the results.
- When results are confirmed for a competition, several important processes will be activated on the background, placed/not placed badges will be calculated, statistics done and for all results all important parameters on horse and rider will be added to database. If there are ranking tables set, ranking points will be calculated. Results will also be used for calculations of qualifications and handicaps.
- If athlete or horse do not qualify for the competition (for example, the licence doesn´t fit or horse doesn´t have a full immatriculation for the date of the competition), such results will be imported, but not confirmed. In the Results list in Equibel, you will see the errors and the reason under the result. The most common reasons are the absence of licence for horse or rider, horse doesn´t match the section (i.e. class is open only for ponies). Please contact the League to fix this situation.
- Event will be moved to the status "Results published" only after all entries has confirmed results or statuses.
- If you have splitted competitions, first split competitions in the Schedule in Equibel (click on Split button) and then export the results from Equipe APP.
- Dressage judges in Dressage, Paradressage and Eventing will be synced automatically from Equipe APP. Ensure that in Equipe APP the judges have correct licence numbers.
Checklist: steps to do after results are exported from Equipe APP to Equibel
Step 1: It takes 1-3 minutes for results export to finish. Navigate to the event page - Results interface:
Step 2: Check if there are Unclear entries and entries with Errors - you will see the number of problematic entries in the competitions list and the status of the competition will be "Not published":
- If the entry status is "unclear" - add the correct status and save.
- If there are errors in results, for example, athlete doesn´t have correct licence level or horse doesn´t fulfil immatriculation requirements, consult the League to resolve the issue. Based on the decision, the entry can be marked as "voided" or "changed". Voided means that result is recorded and entry should be paid, but results is not publicly shown and not considered as officially confirmed result. Changed means that this entry is considered to be unregistered and all fees returned.
Step 3: Find late entries that have been paid outside Equibel (offline) and mark them as paid:
- If entry is not paid, there will be an orange payment button next to edit. When clicked on it, select that payment is expected offline. You may also add a comment (for example, an invoice number) and specify if you have received the payment or not - flag "Confirmed as paid".
- If you expect late entries to be paid online, just check if late entry badge is shown correctly for late entry fee to be added to the payable amount:

Step 4: Ensure that prize money information has been synced correctly or if prize money were not allocated in Equipe APP, add them manually to results. After prize money data correctness in ensured, navigate to the Finances -> Prize money tab to generate the prize money report.
What to do if...
- If there are new competitions that are not entered to Equibel, for example, a score summary or a new competition created during the show, you will see the list of such competitions in the Results interface.
- Click on edit button, to add the competition´s details, including correct fees. If competition doesn´t require payments, click on the checkbox "Administrative summary" or Select an option for the competition that fees are not collected online (under the additional options, right before saving the competition). After competition is created and saved, results will be added automatically
- If the competition is not needed and was exported by mistake, click on Ignore button.
- A new entry that was added to starting list didn´t come from Equipe APP to Equibel.
- The most common reason is that a horse or an athlete were added to Equipe APP not through the Equibel (KBRSF) database search option, but as plain text. In this case, add the licence number or horse immatriculation ID to the profile of a rider or a horse in Equipe APP and transfer results once more time.
- In Equipe APP, entries are marked as withdrawn, no show or changed, but these resolutions are not synced to NRYFStevne.
- This situation might happen for classes with no other results, for example, when class was cancelled because of low number of participants and deleted from Equipe APP and all entries were cancelled or moved to another classes. In this case, you would need to cancel class in Equibel and/or mark entries as changed.
- If result cannot be confirmed (an error is shown).
- This happens if rider or horse doesn´t qualify for a class, for example, the licence category doesn´t fit, rider´s age or pony´s measurement are not appropriate etc. In this cases, it is possible to consult with the League and to void the results (choose voided as resolution) or agree with the rider on corrective steps (for example, purchase a licence of a right category or submit pony measurement). In some cases, a Held Desk should be involved. For example, when data correction is needed.
- If rider received a payable to shopping basket for already paid entry (i.e. entry was paid for in show office or by other channels).
- Please mark the entry as paid externally in the results interface.
- If rider received a payable to shopping basket for a wrong entry (that he/she shouldn´t be responsible for). This situation might occur, when in Equipe APP the Payer is marked wrongly.
- Go to the shopping basket of the rider, click on the orange icon before the edit button for the group of entries to change the Payer -> search for the new responsible payer (using the licence number or name) and click Confirm.
- The payables will be moved to the selected payers´ shopping basket.
