Entry statuses and payments

The status of the entry has a direct implication on the payment obligation. In some cases, all fees will be returned, while in others, a part of the starting fee will remain in the events' budget to cover the organizers' costs. The calculation of fees is rules-based, which means that there is no possibility to manually correct the amounts to be paid or returned.


Basic terms


Entry fee components

The full price for entry is a sum of the following components that can be set up for every competition:

  • Registration fee - covers organizer´s administrative costs of entry
  • Starting fee - covers starting costs of entry
  • Offline | late entry fee - covers administrative fees for late entry or entry paid offline

Entry´s basic statuses

  • Draft (technical name "registered") - entry is submitted by user, but not paid yet - entry is in shopping basket waiting for payment. Shown in red font on white background:

  • Confirmed (or result confirmed) - entry is paid and confirmed (and has confirmed result). If competition or whole event doesn´t use online payments, entry will be confirmed immediately after it is submitted by user. Shown on green background:

  • Unregistered - entry is deleted and not valid anymore, all paid amounts returned to payer or used to cover costs of other entries in the same event, if entry wasn´t paid, payable removed from shopping basket. Entry´s additional statuses and implications for payment obligation


In addition to basic status (draft, confirmed, unregistered), an entry should have one of the following additional statuses that are used in the regional, communautaire and national events: participated (result confirmed), withdrawn, unpaid withdrawal, no show, changed and voided. This status is assigned to entry either automatically, when results are imported, or can be added by administrative authority of the events via the results interface. The registration fee component and the late/offline fee component (if applicable) should be paid. The starting fee will be returned. Examples:

  1. The total entry fee is 25 EUR, including a 13 EUR registration fee and a 12 EUR starting fee. The entry is paid online. When the status is set to withdrawn, 13 EUR (registration fee component) will remain on the event's account, and 12 EUR will be returned to the rider.
  2. A late/offline entry fee in total is 30 EUR, including a 13 EUR registration fee, a 12 EUR starting fee, and a 5 EUR late entry fee component. The entry is not paid and is expected to be paid online. When the status is set to withdrawn, the rider will get a payable to shopping basket in the amount of 18 EUR, including 13 EUR (registration fee component) and 5 EUR (late/offline entry fee).

This status should be used, if you would like either to return all to payer or to use the entry fee amount to pay for another entry in the same show.

Voided Vervallen Disqualifié All fees should be paid, including late/offline fees’ component, if applicable

Please note:

  • If the administrative authority changes the status of the entry, it will immediately trigger the recalculation of the payable amount related to the entry. Here are some examples:

If the status is changed from "no show" to "changed", all fees will be transferred to the returns balance of the payer.

If the status is changed from "changed" to "unpaid withdrawal", the payable amount will be increased for the full amount of the entry fee. This amount can either be deducted from the returns balance of the payer for this event or added to the shopping basket for payment.

  • If the administrative authority adds or removes the late or offline entry flag from the entry (via the results management interface or via the entry form), it will have implications on the fees. When the flag is raised, an additional 5 EUR (or any other specified late entry fee amount) will be added to the total fee of the entry. When the flag is removed, the late or offline entry fee component will be deducted from the price of the entry. If the entry fee has already been paid online, it will be returned to the payer.
