Event statuses and transitions

Initial outline of the event. This can serve as a foundation for creating templates.

Once the draft is generated, it is essential to select the dates, discipline, level, and include the short code as a minimum requirement.

To submit the draft for publication, kindly click on "Propose" button. 

"Proposed" indicates that the show, including dates, level, discipline, and other parameters, is suggested by the administrative authority to be included in the Calendar. It is awaiting the formal decision of the higher authority, such as the discipline commission, before being made public.

If the show has already been approved by all authorities, click on "Publish" to make it visible to the visitors and users of Equibel.

If the show is declined by the higher authority, click on "Decline". The status of the show will be changed to "Declined".

Schedule (classes and fees) is hidden from public view

"Published" implies that the show has been officially added to the Calendar.

To publish the schedule (including classes, fees, products, etc.) and make the show available for entries, select "Propose schedule" to add classes and other necessary details. If you have the appropriate permissions, the administrative authority can promptly approve the schedule and open the event for entries by selecting "Approve schedule".

Schedule (classes and fees) is hidden from public view

"Proposed schedule" includes all classes, general regulations, judges, officials, products, and services. It is added by the administrative authority and waits for the formal decision of the higher authority before being made public.

If there is no need for formal approval of the schedule, click on "Publish Schedule" to make it public for the visitors and users of Equibel.

The schedule can also be declined by clicking on "Decline Schedule". The status of the event will be changed to "Published" and the schedule can be reviewed and proposed again for publication.

After clicking on "Publish Schedule", the event will be open for online entries immediately if no special date and time are specified by the administrative authority.

The schedule has been approved and the event is now open for entries until the specified end date.

If necessary, the end date for the online entries period can be adjusted. To close the online entries, the date can be set in the past. In this case, the event's status will automatically change to "Closed for entries". If the end date for the online entries period is extended, the period for online entries will be prolonged. Please include a note in the alert field or event description field informing users about any such changes, so they can understand the situation and make their entry decisions accordingly.

The online entry period is closed. For late entries, riders need to contact the administrative authority. Late entry fees may be imposed if the administrative authority decides so. The status is updated automatically after the online entry period deadline has passed. 

Note: If online payments are being used, all entries that have not been paid for will be automatically unregistered from the master list at 00:05 the next day. 

The event is currently live and ongoing. The status changes from "Closed for entries" to live automatically at midnight on the start date of the event.

The administrative authority may consider adding a link to the online live streaming and the starting lists to enhance the convenience of users and participating athletes.

The event has ended. The status will be automatically updated on the day following the last date of the event. 

The administrative authority is responsible for publishing the results. The status will change to "Results published" once all entries have a valid result or in the case of withdrawals, no shows or changes marked accordingly.

All results for all entries in a show are published. The status changes automatically provided there are no entries with unclear resolution. 

Administrative authority is expected to specify for each entry what has occurred. 

NB! If online payments are in use, the recalculation of shopping baskets will take place automatically, refunds will be allocated for withdrawn entries, fees for late entries imposed. Participants will receive automatic reminders to pay for their shopping baskets if additional fees are imposed.
